But chances are you didn’t get into coaching to do tasks like those all day long. You got into coaching to help people transform their lives in ways only you can.

The good news is that with how quickly artificial intelligence is growing, there are increasingly powerful tools for cutting down the time you spend on non-coaching tasks. AI-powered tools can handle the repetitive parts of your business—content ideation, admin work, follow-ups—while you focus on what matters: your clients.

The challenge is that there are hundreds of AI tools out there, and everyone seems to have an opinion about which ones you need. So to help you cut through the noise, I’ve identified 8 practical strategies that coaches can use to save a lot of time every week.

Why Coaches Hesitate About AI (And Why That’s Changing)

First, let’s address the elephant in the room: you might worry that using AI will make your coaching feel robotic or inauthentic. Will clients know if you use AI-generated content? Is it ethical to use artificial intelligence in such a personal business? These are valid concerns.

But after working with dozens of coaches, I’ve seen that when used thoughtfully, AI can enhance what makes your business human and personal.

Think about it this way: you already use Zoom for sessions and Calendly for scheduling appointments without worrying that they make you less authentic. ChatGPT, Claude, and Perplexity are just more useful tools that helps you serve clients better.

I like to think of AI as an assistant or staff member. I wouldn’t ask an assistant to do all my work for me. That’s when using AI can make my work come across less authentic and personal. But I would hire one to win back time and energy for doing the parts of my business that light me up.

What Types of AI Are Useful for Coaches?

With hundreds of AI tools flooding the market, it’s helpful to understand the main categories that matter most for coaches. Don’t worry if this feels overwhelming for now. We’ll get into concrete strategies and specific ways to use these powerful tools below.

Here are my top 8 AI strategies for coaches, organized from beginner to advanced. If the first couple of levels seem basic to you, feel free to skip ahead. But if levels 1 and 2 already feel like a lot, start there to get a handle on the basics before moving on.

Level 1: Create Endless Content with Smart AI Prompts

Time saved: 4 hours/week

The simplest place to start with AI is content creation. Most coaches struggle with the blank page: staring at their laptop on Sunday night, trying to write next week’s social media posts. AI content creation tools like ChatGPT and Claude can transform that struggle into a 30-minute task.

The secret is using specific prompts. Instead of typing “write me a blog post,” try something like: “Act as a life coach specializing in career transitions. Write an Instagram caption about overcoming imposter syndrome at a new job. Include a personal story opening, one practical tip, and end with a question to encourage comments. Keep it under 150 words with a warm, encouraging tone.”

See the difference? The more specific you are about your niche, format, and tone, the more tailored content you’ll get that resonates with your target audience.

Pro tip: You can use this same AI research for finding content ideas or writing your website copy. Search for your coaching niche plus words like “struggling with,” “confused about,” or “need help with.” You’ll discover problems you didn’t even know your ideal clients had, plus get dozens of relevant content topics.

Plus, AI summaries usually identify the action items you discussed, so you’re less likely to forget to send that resource you promised or follow up on that homework assignment.

I personally love using Notion AI for this because it keeps everything in one place. My client meeting notes live in Notion alongside all my other project documentation. When I need to find a specific idea or remember what we discussed three sessions ago, I can use Notion AI to search through all of that data instantly. It’s like having a searchable brain for your entire coaching practice.

Pro tip: The real magic happens when you realize these transcripts aren’t just for your records. They’re also a goldmine for your content. With client permission, you can use artificial intelligence to identify patterns and extract thoughts or phrases that become the foundation of your content creation process. This AI-assisted approach means you’re never wondering what to write about: your content writes itself based on real client needs.

A quick warning: automation can be a real rabbit hole, and we’re only scratching the surface here. For most coaches, this is probably a distraction until you have solid systems already working. There’s no point automating something you haven’t refined manually first.

When you’re ready, automation tools like Zapier and Relay.app integrate AI capabilities that go beyond simple “if this, then that” automation. Instead of just moving data between apps, AI can make decisions, categorize information, and personalize responses based on context.

So instead of having an automation that sends the same welcome email to everyone who books a call, you could use AI-powered automation that looks something like this:

Why You Still Need to Edit AI-Generated Content

When it comes to your written content, let’s be clear. There’s more AI-generated content flooding the internet every day, and it all sounds eerily similar when it hasn’t been edited. Generic phrases, perfect grammar, that slightly too-formal tone that screams “ChatGPT wrote this.”

People have gotten good at spotting it. Really good. And when potential clients realize you’ve just copied and pasted from ChatGPT without any effort, it breaks trust. As a coach, trust is one of your most valuable assets. Losing credibility over lazy content isn’t worth the time saved.

So yes, use AI to do the heavy lifting: researching for ideas, building first drafts from templates, etc. But always edit to make sure the content aligns with your voice, not ChatGPT’s.

Some Caveats on Using AI in Your Coaching Business

Now, before you get started, it’s important to set your expectations.

First, there’s a learning curve with AI. The first time you try ChatGPT, it might give you something generic that doesn’t sound like you at all. That’s normal. It takes trial and error to figure out the right prompts and workflows for your specific business. Give yourself at least a week with your chosen strategy before deciding whether or not it works for you.

Second, don’t expect AI to do all your work for you. If it handles 80% of the heavy lifting and saves you even three hours weekly, those hours add up quickly. Within a month, you’ve gained back more than a day. Within a year, you’ve reclaimed weeks of time for doing what really matters: actually coaching, developing programs, or simply having a life outside your business.
