Best scheduling apps for coaches

To save time in your business, here are the best online appointment scheduling apps for coaches.

A Quick Summary:

  • Calendly for coaches who want simple and easy
  • Squarespace Scheduling for coaches who want to take payments for packages of appointments
  • TidyCal for coaches who want to keep costs as low as possible
  • Paperbell for coaches who want all-in-one business management

What is an online scheduling app?

An online appointment scheduling app is a software platform that allows clients to view your available slots and book appointments directly, without the need for time-consuming back-and-forth emails or phone calls.

These tools sync with your calendar, automatically updating your availability in real-time. This means a significant reduction in admin work, freeing up more time for actual coaching and business growth.

Basically, a scheduling app is a digital lifesaver for any coach.

Which scheduling app works for your coaching business will depend on what you need it to do for you.

That’s why in this post, I’m reviewing several options, each with their own strengths, so you can be sure to make the choice that will work best for you.

Best scheduling app for coaches who want simple and easy

Calendly's homepage with user-friendly scheduling interface for appointment management

Calendly is a top choice for many coaches who want a simple, yet versatile scheduling app. Because it’s so user-friendly, it makes the process of setting appointments easy for clients and efficient for you.

Calendly offers a free tier that caters to basic scheduling needs (or if you just want to try it out before you pay), though the free tier only allows for one type of appointment to be managed.

Not only that, but Calendly also syncs with calendar apps like Google Calendar, making sure your schedule stays up-to-date and preventing double bookings.

And its integration with automation tools like Zapier further enhances its functionality, making it not just a scheduling tool, but a comprehensive part of your coaching business’s tech ecosystem.

As your coaching business grows, Calendly grows with you. Its paid plans start at just $10/month and give you the ability to manage multiple appointment types as well as other features like custom confirmation pages, adding a personalized touch to your client interactions.

Also, for coaching teams, Calendly’s individual calendar management feature is useful, allowing each coach to handle their appointments independently.

Whether you’re just starting out or looking to streamline your existing process, Calendly’s blend of ease-of-use and simplicity makes it an excellent choice.

Best scheduling app for coaches who want a few more time-saving features

Squarespace Scheduling

Squarespace Scheduling's homepage featuring advanced scheduling and payment tools

Squarespace Scheduling (aka Acuity Scheduling) is the go-to option for coaches who want a slightly more robust scheduling app.

This app not only schedules but also handles other admin work for you, like processing payments and managing coaching packages.

One of the standout features of Squarespace Scheduling is its capability to handle payments for appointment packages directly within the scheduling process. It’s also great for coaches needing detailed client management capabilities, keeping track of session counts and client info with ease.

Starting at $16/month for the basic tier, Squarespace Scheduling provides an advanced yet intuitive platform. While it has a more complex setup process than simpler apps like Calendly, the range of integrations and features it offers makes up for it if you’re using them.

There’s no free tier, though they do have a free trial so you can try out the platform before you commit.

For established coaches or those expanding their services, Squarespace Scheduling offers an effective blend of functionality and convenience.

Best scheduling app for coaches who want to keep costs low

Tidycal's homepage emphasizing affordability and calendar compatibility

TidyCal is the perfect pick for coaches who want a low-cost scheduling app.

Currently you can buy TidyCal for an impressive one-time payment of just $29 for lifetime access (though I imagine the cost will go up eventually and will be a subscription model, not lifetime).

Despite its budget-friendliness, TidyCal doesn’t skimp on features.

Not only is it super easy to set up, but it’s also compatible with major calendar systems, including Google Calendar, iCal, and Outlook, making sure your scheduling stays synced with your calendar to prevent double-bookings.

AND a bonus — for coaches transitioning from Calendly, TidyCal offers a convenient one-click import feature. It also integrates with Zapier in case you want to bring in more automation to save time in your business.

One limitation of TidyCal that I noticed is the lack of group availability settings, meaning adjustments to availability have to be made at the individual appointment level and can’t be made for all appointments at once.

However, its affordability and feature list still makes it a very popular choice for coaches I know, especially those mindful of costs.

Best scheduling app for coaches who want all-in-one business management

Overview of Paperbell’s feature webpage, illustrating its integrated tools for contract management, scheduling, and payment

For coaches who want a robust solution that handles far more than just scheduling or taking payments, Paperbell is a top choice. It’s designed as an all-in-one tool specifically for coaches, ideal for streamlining every aspect of your business.

One of the biggest advantages of Paperbell is how it combines multiple functionality into a single client portal.

Clients can pay, schedule, sign contracts, and set up their coaching sessions all in one seamless step, removing the need for multiple tools and back-and-forth communication. This feature is especially helpful for managing client relationships and saving you admin work.

Paperbell’s client management system also gives you a comprehensive view of each client, including notes, purchase history, signed contracts, completed surveys, and appointment history.

So if you want an all-in-one system, Paperbell is a great fit. It combines scheduling, payment, and client management in a user-friendly package.

Just keep in mind that you’re paying for all the extra features, so be sure you’re using them! Paperbell doesn’t have a free tier, and costs $47.50/month.
